Overview

Maintaining an awareness education program is a requirement of most technology related regulatory and compliance standards. Security awareness programs can be complex and resource-intensive to manage for organizations of any size, but SecurityIQ can solve many of these issues with AwareEd. AwareEd provides organizations with a mechanism to automate the delivery, promotion, tracking, and reporting of a security awareness training program with minimal administrative time required.

Core Components

The AwareEd section consists of four main components:

Notifications

Throughout the lifecycle of an AwareEd campaign, automatic notifications can be sent to learners for different events. These can include campaign enrollment, reminders to start and complete their training, and completion notices.

Modules

A module is an individual class which is comprised of audio, video and interactive exercises used to present training material and measure comprehension. Many AwareEd modules are available in both full and brief versions, which allows you to present just the right amount of information to the right learner.

Custom Modules

Organizations that have training material already created by Adobe Captivate can upload their project to SecurityIQ AwareEd and deploy it as an education module just like any other AwareEd module. Captivate projects imported into AwareEd can be fully tracked and reported on.

Courses

Courses are a collection of modules or classes. One or more courses can be assigned to a campaign and then sent to learners.

Campaigns

A campaign is a collection of courses that are assigned to be delivered to one or more groups of learners over a defined amount of time.

Notifications

Since AwareEd training is self-paced, communication with the learner throughout the campaigns is a critical process in ensuring that the learner stays on track and completes the assigned training in the given timeframe. AwareEd accomplishes this through the use of four types of notifications. Multiple versions of each notification type can be created and assigned to different campaigns.

  • Enrollment – An email sent the first day a campaign is active, notifying the learner that they have been enrolled in the course. This email also includes a link unique to the learner, which is what allows them to access their course.
  • Reminder to Start – This email is sent to learners who have not started the training.
  • Reminder to Complete – An email sent to learners who have started the training but not completed it.
  • Completion – This email is sent to learners when they complete their training.

To access AwareEd Notifications:

  • From the main menu, click “AwareEd” and then “Notifications”

To preview an AwareEd notification:

  • On the AwareEd page, hover over the Name and click the “Preview” icon

To copy an existing AwareEd Notification:

  • On the AwareEd page, hover over the notification name and click the “clone” icon

To edit a Notification:

  • Hover over the notification name and click the “edit” icon .

To delete a custom Notification:

  • On the AwareEd page, hover over the name of the notification you wish to delete and click the “Trash Can” icon .

To configure a Notification:

  • Specify the Notification Name
  • Set the Subject link that the email will include
  • Select the Notification Type
  • Edit the body of the email. Variables can be used in the body of the message to customize the email. It is critical that the {{training_link}} variable is included in the body, since this is the only way for a learner to access their assigned course
  • You can preview the notification in the browser by clicking “Preview In Browser” or by sending a copy to your email by clicking “Email Preview to Me”
  • Once all changes are complete, click “Save”.

Courses

When designing a security awareness training campaign, you will likely want to tailor the training to be as effective as possible for each role within your company. As an example, a portion of your staff may need to receive training on basic security practices as well as training on HIPAA compliance while another set of employees may do a lot of work remotely and need to receive training related operating securely in a public or remote environment but don note require HIPAA training. Courses allow you to create different collections of individual training modules which can then be assigned to differing groups of users through a campaign.

To access AwareEd Courses:

  • From the main menu, click “AwareEd” and then “Courses”

To create a Course:

  • On the Courses page, click “New Course”
  • Assign a Course Name
  • Click “Add Course Module”
  • Click the check box for the modules you would like to include in your course
  • Once you have selected the appropriate modules, click “Save”
  • To change the order of the modules, simply click and drag a module to its appropriate spot
  • To remove a module, click the “Trash Can” icon .
  • When complete, click “Save”

Your course is now ready to be included in an AwareEd Campaign!

To edit a Course:

  • On the Courses page, hover over the course name and click the “edit” icon .
  • To add an additional module to the existing course, click “Add Course Module”
  • Click the check box for the modules you would like to include in your course
  • Once you have selected the appropriate modules, click “Save”
  • To change the order of the modules, simply click and drag a module to its appropriate spot
  • To remove a module, click the “Trash Can” icon .
  • When complete, click “Save”

To delete a Course:

  • On the Course page, hover over the name of the course you wish to delete and click the “Trash Can” icon .
  IMPORTANT – You cannot delete a Course that is currently assigned to a campaign. In order to remove courses, you must first delete the campaign it is associated with. Deleting a campaign will also delete all associated history for the campaign and its associated learners. If you wish to retain data and results from a campaign, you must run a report for the campaign and export the information prior to deleting it from the system. You cannot undo a deletion, so be sure to export any needed information before doing so.

AwareEd Campaigns

Every organization has a unique set of requirements when it comes to delivering training based on job roles and the technology used by learners. Different groups of learners may need to receive different types of training at different times. AwareEd Campaigns provide the flexibility to deliver targeted training to select users at specified times in a very easy to manage way.

To access AwareEd Campaigns:

  • From the main menu, click “AwareEd” and then “Campaigns”

To create a new AwareEd campaign:

  • On the Campaigns page, click “New Campaign”
  • Enter the name of your campaign
  • Select the learner groups from the Available Groups section who will participate in this campaign. To remove a group, click the group in the Selected Groups section
  • If you need to add individuals, you may click the individual names in the Available Learners section. To remove an individual, click their name in the Selected Learners section
  • Click “Next Step”
  • Select one or more courses to include in this campaign by clicking the course in the Available Courses section. To remove a course, click its name in the Selected Course section
  • If your campaign will repeat, you have the option to reset a learner’s current progress. This is selected by default. With this option selected, the learner will be required to start from the beginning of the course each time the campaign is repeated.
  • Click “Next Step”
  • Choose the notifications that should be used to communicate with your learners throughout the campaign.
  • For the “Start Your Course” and “Finish Your Course” reminders, you may set the number of days to wait between sending each reminder.
  • Click “Next Step”
  • Set the Campaign Start Date
  • Determine how long you would like to give your learners to complete this campaign
  • Se the number or times this campaign should repeat. This is useful for training that must be completed on a regular basis
  • Click “Schedule” to complete the campaign creation process

To view details of an existing campaign:

  • On the Campaign page, hover over the Campaign name and click the “Information” icon.
  • Your campaign will be expanded and you can now view details about each run by clicking the “Graph” icon .
  • To view details for an individual user within the campaign, click the “Plus” icon .
  • To manually send an email reminder to a learner, click the “Mail” icon .
  • To manually mark a module as complete for a learner, hover over the module name under their name and click the “Check Mark” icon .

To edit an existing Campaign:

  • Once a campaign has been started, it cannot be edited. You may either clone a campaign and edit the new version, stop a running campaign and all future runs, or delete an existing campaign. IMPORTANT – See notes below on deleting a campaign before taking this action.

To delete an existing campaign:

IMPORTANT – Deleting a campaign will also delete all associated history for campaign and its associated learners. If you wish to retain data and results from a campaign, you must run a report for the campaign and export the information prior to deleting it from the system. You cannot undo a deletion, so be sure to export any needed information before doing so.

 

  • On the Campaign page, hover over the campaign name and click the “Trash Can” icon and click yes to the prompt to confirm deletion.

AwareEd Reports

A major component of any security awareness training program is providing supporting documentation for compliance auditing purposes to prove that training is taking place. AwareEd allows you create simple yet powerful reports to accomplish this. All reports can be exported to CSV files for long term retention.

There are two types of reports which can be created to display your AwareEd statistics. Campaign Summary reports offer a high-level overview of selected campaigns and can display information such as how many learners have begun their training and how many have completed their assigned courses.

Campaign Run Status is a more detailed report which provides information at the learner level and shows the actual status of each learner and their associated courses. Once a campaign ends, this is a great report to run and export as a CSV for long-term retention.

To view a list of currently configured reports:

  • From the main menu, click “Reports”

To view an existing report:

  • On the reports page, hover over the report name and click the graph icon . AwareEd reports can be identified by looking at the Category column on the reports page

To create an AwareEd Report:

  • From the main menu, click “Reports”
  • On the reports page, click “New Report”
  • Enter a Report Name
  • Select the type of report you wish to create
    • AwareEd Campaign Summary Report – Provides a graph and basic details for selected AwareEd Campaigns
    • AwareEd Campaign Run Events Report – Provides a detailed line item report for each learner and their activity
  • For a Summary report, select the Available Campaigns which you would like to report on
  • For a Run Events report, select the Available Campaigns and user groups you would like to report on
  • Choose the Run Selection option that meets your needs.
    • All Runs
    • Last Number of Runs
    • Last Number of Days
    • Date Range
  • Select the event types you would like to include in your report from the Event Filters section
  • Select all of the items you would like to display in your report from the Display section
  • If you would like to have the report emailed to you on a weekly basis, check “Email this report to account administrators once a week” in the Delivery section
  • Click “Save Report”
